Follow-up texts after a pool quote, ready to copy

Twelve texts a pool builder can send after a quote, grouped by what is actually going on: the day 2 note, the spouse, the monthly payment, the HOA, a cheaper bid, the last note. Each one gives the family a reason to answer, keeps to one question and runs under 45 words.

Every text below gives the family a reason to answer

"Just checking in" asks for nothing, so nothing comes back. Each text here brings one new thing and ends in one question that takes a word to answer. They are examples: swap the brackets for your own names and details, and keep one true detail from the yard visit in every one.

These are not a study. No one has published reply rates for pool follow-up texts, and we will not invent them. The one hard number on timing is about first contact on web enquiries: a Harvard Business Review study (2011) of 1.25 million sales leads at 42 US companies found that firms who tried to contact a lead within an hour were nearly seven times as likely to get a real conversation with a key decision maker as firms who tried even an hour later (citation for the study, summary of the figures, which is where the numbers come from). So send early, and send something worth opening.

Five rules make a text get answered

  1. Your name and company in the first line. They called three builders.
  2. One true detail from the yard visit.
  3. One new thing: a view, an answer, a changed option.
  4. One question at the end, answerable in a word.
  5. Under 45 words, and no price unless they asked.

Only text people who gave you their mobile number for this job and said texting is fine. Ask at the visit: "Is text or email better for you?" and get both people's mobile numbers and emails. Rules for marketing texts differ by country and state, so check yours before you send anything in bulk.

Texts for the first week

Text 1: the same night

Example. Hi Dana, it is Sam from [Your Pools]. Proposal is in your email. I kept the sun shelf on the shallow end like Mark asked. Is it OK if I send the one view I did not show you?

Text 2: day 2, a picture they have not seen

Example. Hi Dana, Sam from [Your Pools]. I forgot to show you one thing: your pool at 8pm with the lights on. Want me to send the clip tonight?

Text 3: after they watched the film

If your tool tells you they opened the link, do not say you saw them watch. Ask about the part you think they liked.

Example. Hi Dana, Sam from [Your Pools]. Did the sun shelf look the way you pictured it? I can move it a foot either way if not.

Texts for the person who missed the meeting

Text 4: to the one who was there

Example. Hi Dana, Sam from [Your Pools]. Can I send a one-minute clip you can play for Mark tonight? It shows the pool the way you saw it in the yard.

Text 5: to the second decision maker, with the first one's OK

Example. Hi Mark, Sam from [Your Pools]. Dana asked me to send you this so you see what she saw. Is there anything in it you want me to answer tonight?

Only text Mark if he gave you his mobile number for this job and said texting is fine. Otherwise send the same words by email, or ask Dana to forward the clip.

Texts when the number is the problem

Text 6: the monthly view

PoolPro (US, 27 February 2023) reports a lender warning that the same financed pool can have a very different monthly payment depending on the interest rate, even for a buyer with excellent credit (PoolPro). The point is that the total alone hides this.

Example. Hi Dana, Sam from [Your Pools]. Here is the pool as a monthly number at two rates. Want me to run yours with a lender who does pools?

Do not promise "no credit check" unless your lender really works that way. Tell them what yours does.

Text 7: connecting them with a lender

Example. Hi Dana, Sam from [Your Pools]. Which lender are you using? I can connect you with one that does pools every week, and I will hold the design for 14 days.

Texts for the other things that stall a pool

Text 8: the HOA

Example. Hi Dana, Sam from [Your Pools]. Want me to put together what an HOA usually asks for? I have done a few in [neighborhood]. Site plan, colors and materials, one folder.

Text 9: a change request

Example. Hi Dana, Sam from [Your Pools]. I moved the spa like you asked and updated the film. New link is here. Is the fence line still where you want it?

Fast is the message. A same-day reply to a change request shows how you will work during the build.

Text 10: they got a cheaper quote

Example. Hi Dana, Sam from [Your Pools]. Understood. Can I see what is in theirs, so we compare the same pool, down to steel, decking and warranty?

If the other bid is the better pool for the money, say so. It earns the next call.

Texts for a job that has gone quiet

Text 11: the last note, day 14

Example. Hi Dana, Sam from [Your Pools]. I am closing out my spring list on [Friday date]. If a pool is not for this year, I will keep your design on file. If it is, I have [number] build slots left. Which is it?

Use the slot line only if the slots are real.

Text 12: next season

A PoolPro column by Brett Lloyd Abbott (US, 2013, updated 2025) argues the buyer who finally says yes may do so a year or two after the first meeting, and may call whichever builder contacted them most recently (PoolPro). One note a year, with something new, is enough.

Example. Hi Dana, it is Sam from [Your Pools]. I updated the film of your design with this year's materials, and the lights now come on at dusk. Worth another look before the season starts?

Never send these

  • "Just checking in." They have nothing to answer.
  • "Touching base." Same.
  • "Did you get my email?" It sounds like blame.
  • A countdown or a build slot that is not real. A homeowner who spots a made-up deadline stops trusting the real number.
  • A new price without a reason. Take scope out, not margin.
  • A text to a number nobody gave you for this job, or to someone who has not said texts are fine.
